CRM Freshness & Enrichment

CRM Freshness & Enrichment

Poso builds workflows that identify stale contact and company records, enrich missing fields, and prepare consistent updates for B2B sales teams. Your team receives a defined process and CRM-ready outputs, with direct CRM updates included only where agreed.

Start with the records and fields that matter to your sales process.

  3. CRM-ready updates

The records, checks, and destination are defined for each project.

When records drift

A populated CRM can still leave sales working from old information.

A record may have a name, title, company, and email address without giving your team a reliable basis for the next sales action. This service is relevant when the problem sits inside the database you already have.

Titles and companies have changed

Your CRM still reflects an earlier role or employer, making account ownership and outreach decisions harder.

Important fields are missing

The records your team needs to use lack agreed contact or company information.

Values are inconsistent

Different formats, naming conventions, or field values make records difficult to filter, segment, or pass into another workflow.

Updates depend on manual checks

People repeat the same lookups and spreadsheet edits without a clear process for preparing updates.

From records to updates

A defined path from existing records to usable changes.

The workflow starts with an agreed set of contact or company records and a clear field list. It checks for gaps or possible changes, enriches selected information, and prepares updates in the format your team needs.

This example shows the workflow structure. It does not represent a live system, a client implementation, or a guarantee that every record can be updated.

What goes in

An agreed CRM export, spreadsheet, or connected dataset; available record identifiers; the fields to check; and the format required at the destination.

What the workflow does

Checks selected records for missing or potentially outdated information, enriches agreed fields, normalizes values, and identifies records that need further review.

What comes out

A CRM-ready update file or an agreed connected handoff, with unresolved records kept distinguishable from prepared updates.

A possible change is a reason to check a record, not proof that every existing value should be replaced. The project defines how conflicting, incomplete, or unavailable information is handled before updates are applied.

What you receive

A focused build with clear outputs.

The core engagement is defined around a specific dataset, field set, and destination. Additional processing or connected operations are scoped separately.

Core outputs

  • An agreed record and field scope

A definition of which contact or company records are covered, which fields are checked or enriched, and where the output needs to go.

  • The agreed processing workflow

A workflow for checking the selected records, enriching the agreed information, and normalizing the output.

  • CRM-ready results

Prepared updates in the agreed format, with unresolved records distinguished for review.

  • Documentation and handoff

An explanation of the workflow, field mapping, dependencies, and handling of unresolved records. Testing and handoff requirements are agreed as part of the scope.

Options to agree during discovery

  • Direct CRM connections and writeback, including field mapping and overwrite rules.
  • Duplicate detection or record merging.
  • Email verification or additional enrichment providers.
  • Scheduled refreshes, change alerts, or review and approval steps.
  • Ongoing monitoring, maintenance, or operation.

These options are not automatic inclusions. Their suitability depends on the data, available systems, permissions, and the way your team needs to operate.

Systems & access

Built around your data and the access the workflow needs.

Poso can work across CRM systems, enrichment providers, and spreadsheet-based operations. Clay, n8n, APIs, or webhooks may be relevant to the implementation. Selected workflows may also use Minko.ai as an enrichment and context layer. The project does not require every tool.

Useful inputs for scoping

  • A sample of the records, with sensitive information removed where appropriate.
  • The fields that are missing, inconsistent, or suspected to be outdated.
  • The identifiers available to match records.
  • The output format or CRM fields the team expects to use.
  • A person who can confirm data rules and approve the intended updates.

Connections and permissions

The exact connections and permissions depend on the agreed implementation. An export-based workflow and a workflow that writes directly into a CRM have different access needs. Before implementation, we agree which systems are involved, what access is required, and who authorizes changes.

Existing values, field ownership, and overwrite behavior need to be clear before connected updates are enabled. Tool availability alone does not establish compatibility with a particular CRM setup.

Boundaries

Better inputs need clear rules and realistic expectations.

Dependencies and limits

  • Available identifiers and source coverage affect what can be matched or enriched.
  • Some fields may remain missing, uncertain, or in conflict.
  • Enrichment does not guarantee that every returned value is accurate or current.
  • Direct updates depend on the destination system, permissions, and agreed field rules.
  • Keeping records fresh over time requires an agreed refresh process and an operating owner.

Poor-fit projects

  • A net-new prospect list when the underlying need is sourcing.
  • A full CRM migration or organization-wide CRM redesign.
  • A project that requires every field to be completed or verified without exceptions.
  • A build with no owner for data rules or update decisions.

Buyer questions

Questions about CRM freshness and enrichment.

Can you work with our existing CRM?
We assess the specific CRM, available connection methods, field setup, and permissions during discovery. The output can be a CRM-ready file or an agreed connected workflow. Direct integration is not assumed.
Can you identify job or company changes?
Detecting possible title, role, or company changes is part of this service’s scope where the available records and sources support it. We agree the fields to check and how potential changes are reviewed or used.
What if a field cannot be enriched or sources disagree?
Some records will remain incomplete or uncertain. The workflow needs an agreed way to distinguish those records from prepared updates and decide whether to retain an existing value, leave a field unchanged, or flag it for review.
Will the workflow overwrite our existing CRM data?
Only if direct updates and overwrite behavior are included in the agreed implementation. Field mapping, existing-value rules, and authorization for changes are settled before connected updates are enabled.
Does enrichment include email verification and deduplication?
Not automatically. Email verification, duplicate detection, and record merging are separate scope options. Their rules, dependencies, and outputs need to be agreed for the dataset.
Do you keep the database refreshed after handoff?
Continuing refreshes, monitoring, and maintenance are separate scope decisions. The engagement defines who operates the workflow and whether any ongoing work is included.
Is this the same as building a new prospect list?
No. This service focuses on existing contact and company records. Net-new sourcing, account research, and outbound workflow builds address different problems and need their own scope.
